Use of Application Letters
A application letter is a letter that accompanies the resume of a person applying for a job. It provides an opportunity for an individual to demonstrate his or her writing skills and highlight his or her qualifications for the job. It is essential to present a good match between what the prospective employer needs and what an applicant can contribute. In order to achieve this good match, you can always ask yourself “what do they want?” and “what can I contribute?”

Heading(信头)
The Heading
The heading is usually placed about one inch to the left of the center. It consists of the address of the sender and the date. When writing the address, the writer should begin with the house, the street name, the district name, the postcode, the city name, the province name and the country
name. Then follows the date. Generally the date comes in the form of month-day-year or day-year month. For example, the date is December 10, 2006 or 10 December 2006. Note that a comma is usually put after the day in the first format. Also note there is no punctuation at the ends of the lines.

The Inside Address
The inside address is placed at the left-hand margin and above the salutation. It consists of both the address and the name of the receiver. The name of the receiver is written first, then the title of the receiver, and then the address of the receiver. If the receiver dose not have a title, use Mr., Mrs., Miss or Ms. with the person’s business position listed after his or her name. Be sure not to punctuate at the end
of the lines.

The Salutation
The salutation starts at the left-hand margin, right below the inside address. If the writer knows the name of the receiver, he or she begins to write with Dear Mr./Mrs./Miss/Ms„ If the writer is sending a letter to a person whose name he or she does not know, he or she has to use Dear Sir or Dear Sirs, or Dear Madam, or Dear Sir or Dear Madam or To whom it may concern. Following the salutation
a comma or a colon is generally used.
The body
The body of the an application letter begins a double space following the salutation and is the most important part of the letter. It tells the receiver why the writer writes this letter. Be sure to be concise and to the point in this part. When completed, the body of the letter should be centered on the page.
The complimentary close
The complimentary close should be placed 2 or 3 lines below the body of the letter. It is a formal,
polite, or friendly leave-taking after the message is conveyed. It should match the tone established by the salutation and carried through the body of the letter. The writer may write Yours Sincerely/faithfully/truly or Sincerely/faithfully/truly yours. Note the first letter is capitalized and a comma is put at the
end of it.
The signature
The signature, placed right below the complimentary close, marks the end of the letter.
The Enclosure
When something is included with the letter in the same envelope or container, the writer may indicate it by an enclosure notation, which is usually shortened as Enc. For example, if the writer puts a resume along with the letter inside the envelope, he or she may write Enc. Resume.

Practical Examples
When a person applies for a job, he or she definitely prepares a resume along with a application letter. A resume is written profile that gives a prospective employer a quick snapshot of an individual: personal data, education, job history, skills, hobbies, etc. Many employers use resume to screen applicants. Only those whose qualifications most nearly meet the requirements of the job are called for an interview. The main purpose of a resume is, therefore, to convince an employer to grant an applicant an interview.
Format of a Resume
Contact information: name, address, telephone numbers, fax and e-mail at the top of the resume Personal data: date of birth (DOB), sex, marital status, health, nationality
Career objective: your desired professional title or position, followed by a specialty area
Education: where an when you attended school, college or university, diploma, certificate or degrees received, honors, including important facts (degree type, specific courses studied) that are applicable to the job you are applying for (from the most recent to the least recent)
Work experience: where, when and for how long you have worked at each job (starting and ending dates), what tasks you did on the job, and major accomplishments.
Personal qualities: qualities such as honesty, diligence, collaboration, and friendliness which contributes to your accomplishment of work.
Additional skills: activities or personal interests which relates to one’s career objective and which may represent one’s academic achievements or skills such as languages spoken, cross-culture communication, computer programming knowledge etc.
End with the phrase: REFERENCES Available upon request
Tips
Your entire resume should ideally not be any longer than one page.
Use dynamic action verbs such as: accomplished, collaborated, encouraged, established, facilitated, founded, managed, etc.
Do NOT use the subject “I ” , use tenses in the past. Except for your present job. Example: conducted routine inspections of on site equipment.
